ASK MABS: Practical Solution for a Fair and Smooth Carpool Arrangement

My workplace has recently cut back on remote working, and we are now required to return to the office five days a week. I joined the company in 2021 as a fully remote employee and live about 65km from the office. While this is inconvenient, I need this job. I’ve discovered that two colleagues live about 10km from me, and they’ve suggested forming a carpool and using my car. Please help me structure payments for this arrangement and highlight any potential issues I should be aware of.

Carpooling is an excellent idea. Well done to you and your colleagues for implementing it. It means fewer cars on the road, which translates to less traffic and reduced emissions, benefiting our climate. However, charging colleagues for carpooling can be tricky, as some may feel you were going to work anyway. But, there are some responsibilities come with the lift club such as arranging alternative transport for colleagues on days you’re not going to work. So consider it an income stream.

First, check the AA rate per kilometer and your petrol costs. Use these figures to
determine a fair charge. Be transparent with your colleagues about how you arrived at the final amount and allow them to negotiate a comfortable rate. This will help you maintain a good relationship with them.
